ASE Exceptions to Policy

The Graduate School has established policies governing Graduate Assistantships to ensure consistency and compliance. However, certain circumstances may require exceptions to these policies. Here are common exceptions and the process for requesting them.

  • Late Start or Early Termination of Assistantship
    • Graduate School policy requires academic assistantships to start 08/16 or 01/01 and end on 12/31 or 05/15. Any deviation from these dates requires approval from the Graduate School.
  • Workload Exceeding 25 Hours per Week
    • Graduate students on assistantship are limited to working five additional hours per week on top of their 50%FTE assistantship workload.
    • If additional work exceeds this limit, the hiring unit must submit an exception request before the work begins and must contain the items as outlined in Graduate School Policies and Procedures Chapter 9.3.5.
  • Multifunding with Different Fund Sources
    • Graduate assistantships are required to be funded with specific fund types to claim a waiver or qualified tuition reduction. Due to unexpected circumstances, an exception may be granted when different fund types are used to fund an assistantship.

Submitting an Exception to Policy Request

Exceptions to Policy requests must be in memo format and endorsed by the graduate program director. They are processed through different systems depending on their impact.

Graduate Research Management (GRM) as a Service Request

Use GRM when the exception has academic impact, such as:

  • Academic late starts tied to assistantship appointments.
  • Workload exceeding 62.5% FTE

Graduate School Jira Ticketing System

Use JIRA when the exception has no academic impact, such as:

  • Assistantship late start without academic late start.
  • Assistantship early termination.
  • Multifunding requests.
