{"id":223,"date":"2025-10-10T15:33:54","date_gmt":"2025-10-10T22:33:54","guid":{"rendered":"https:\/\/gradschool.wsu.edu\/finance\/?page_id=223"},"modified":"2026-05-15T14:38:52","modified_gmt":"2026-05-15T21:38:52","slug":"apply-for-childcare-reimbursement","status":"publish","type":"page","link":"https:\/\/gradschool.wsu.edu\/finance\/apply-for-childcare-reimbursement\/","title":{"rendered":"Apply for Childcare Reimbursement"},"content":{"rendered":"<div class=\"wsu-row wsu-row--sidebar-right\" >\r\n    \n<div class=\"wsu-column\"  style=\"\">\r\n\t\n\n<p>Washington State University (WSU) has developed a process to comply with the <a href=\"https:\/\/hrs.wsu.edu\/employees\/labor-relations\/collective-bargaining\/wsu-uaw\/wsu-uaw-contract-2024-2026\/#ARTICLE-21\">WSU\/UAW Contract 21.2<\/a>, offering eligible Academic Student Employees (ASEs) the opportunity to apply for childcare reimbursements through the ASE Childcare Reimbursement Program. This business process is managed by the Graduate School and is designed to support ASEs with caregiving expenses during their appointment periods. Applications may be submitted during three designated windows:<\/p>\n\n\n\n<ul>\n<li><strong>January 1-31 (fall appointment period)<\/strong><\/li>\n\n\n\n<li><strong>May 16 &#8211; June 15 (spring appointment period)<\/strong><\/li>\n\n\n\n<li><strong>August 16 &#8211; September 15 (summer appointment period)<\/strong><\/li>\n<\/ul>\n\n\n\n<p class=\"has-text-align-left\">Reimbursement funds are limited and will be awarded on a first-come, first-served basis until all funds are exhausted. Approved supporting documentation includes:<ul><li>Childcare accounting records such as a paid invoice or itemized receipt.<\/li><\/ul>\n<ul>\n<li>Copy of canceled personal check(s), front and back. Must include the child(ren)\u2019s name and dates of childcare services.<\/li>\n\n\n\n<li>Copy of money order or cashier\u2019s check. Must include the child(ren)\u2019s name and dates of childcare services.<\/li>\n\n\n\n<li>A typed letter signed by the childcare provider (preferably on the childcare provider\u2019s letterhead) detailing names, dates of attendance, total monthly costs and types of payments made.<\/li>\n<\/ul>\n<\/li>\n\n\n\n<li>Completed and signed <a rel=\"noreferrer noopener\" href=\"https:\/\/emailwsu.sharepoint.com\/:b:\/t\/gradschool.documentshare\/IQArFnlMm6JRTLF5Sbp5QPyxATepf6YyVufVFvuUXnzyGxo?e=jtODRz\" data-type=\"URL\" data-id=\"https:\/\/emailwsu.sharepoint.com\/:b:\/t\/gradschool.documentshare\/IQArFnlMm6JRTLF5Sbp5QPyxATepf6YyVufVFvuUXnzyGxo?e=jtODRz\" target=\"_blank\">Child Care Provider Verification Form<\/a>.<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\">Eligibility<\/h3>\n\n\n\n<ul>\n<li>An ASE must have held a position as defined by job titles in <a href=\"https:\/\/hrs.wsu.edu\/employees\/labor-relations\/collective-bargaining\/wsu-uaw\/wsu-uaw-contract-2024-2026\/#ARTICLE-9\" data-type=\"URL\" data-id=\"https:\/\/hrs.wsu.edu\/employees\/labor-relations\/collective-bargaining\/wsu-uaw\/wsu-uaw-contract-2024-2026\/#ARTICLE-9\">Article 9<\/a> of the WSU\/UAW contract <em>during the period for which reimbursement is being requested.&nbsp;<\/em><\/li>\n\n\n\n<li>An ASE must be the legal and physical custodial parent and\/or legal guardian.<\/li>\n\n\n\n<li>Child(ren) must be age 12 or under.<\/li>\n\n\n\n<li>Non-State licensed childcare provider reimbursements will be reviewed for approval on a case-by-case basis.\n<ul>\n<li><a rel=\"noreferrer noopener\" href=\"https:\/\/emailwsu.sharepoint.com\/:b:\/t\/gradschool.documentshare\/IQCIWMhk717jR43p2FrsiOGmAQ3Lvz-UaNZlcs-80LdEH5k?e=LF8Snn\" data-type=\"URL\" data-id=\"https:\/\/emailwsu.sharepoint.com\/:b:\/t\/gradschool.documentshare\/IQCIWMhk717jR43p2FrsiOGmAQ3Lvz-UaNZlcs-80LdEH5k?e=LF8Snn\" target=\"_blank\">Invoice Template<\/a> for Non-State licensed\/private childcare providers.<\/li>\n<\/ul>\n<\/li>\n\n\n\n<li>Proof of payment for childcare costs as stated above is required.<\/li>\n\n\n\n<li>If an ASE has received a subsidy or reimbursement from another WSU childcare program, the amount must be declared on the application form.<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\">Maximum Reimbursement<\/h3>\n\n\n\n<ul>\n<li>The maximum WSU reimbursement to all eligible ASES from all sources: $2,025 Fall Semester, $2,025 Spring Semester, $1,550 Summer Semester.<\/li>\n<\/ul>\n\n\n\n<p>Reimbursement requests must be submitted after the expenses have been incurred and no later than thirty (30) calendar days following the end of the semester for which reimbursement is sought. All required documents, including the Childcare Provider Verification Form, must be completed, signed, and uploaded with the application. Once approved, reimbursement will be processed in Workday. Childcare reimbursements may be considered taxable income and may be included on annual tax documents as appropriate.
